These terms and conditions govern your use of our website and purchases made via the website. If you do not accept these terms and conditions, please do not use this website. Your continued use of this website confirms your acceptance of these terms and conditions.

Use of this website
This website may be used for your own private purposes and in accordance with these terms. You may print and download material from this website provided that you do not modify or reproduce any content without our prior written consent.

Information supplied
We shall be entitled to copy, disclose, distribute or use, all material sent or posted to this website, with the exception of personal information, the use of which is covered by our privacy statement.

Booking a place
By booking a place, or places, on a class, course or workshop, you agree to these terms and conditions, and to pay the full amount shown at the point of purchase. Bookings are made through our parent company, Mind Body Matters CIC, which will appear on any statements in relation to your payment.

Payment
We use Paypal to process online payments. Paypal is a secure payment gateway and your payment card details are not shared with us. You can pay via Paypal with any accepted credit or debit card – a Paypal account is not required. If paying the reduced rate, proof of entitlement is required and should be brought with you to registration. Payment by cash or cheque will be considered in exceptional circumstances.

Cancellations and refunds
In the event of us cancelling a class, course or workshop for any reason your payment will be refunded. In the event of you cancelling a place your payment will be refunded only if you cancel within 14 days of booking, unless there is fewer than 14 days to the start of the class, course or workshop in which case your payment will not be refunded. If you are unable to complete a class, course or workshop for any reason you will be offered a place on another of equivalent value. Please note, membership fees are refundable at our discretion.

Disclaimer
Whilst we do take all reasonable steps to make sure that the information on this website is up to date and accurate at all times, we do not guarantee it to be so. All material contained on this website is provided ‘as is’ without warranty of any kind. You use the material on this website at your own discretion.

Exclusion of liability
We do not accept liability for any loss or damage that you suffer as a result of using this website. Nothing in these terms shall exclude or limit liability caused by negligence.

If you book a place on one of our classes, courses or workshops, we require:
  1. your first and last names,
  2. your email address and
  3. a telephone number.
The data is used to provide you with confirmation of your booking and to keep you informed of any changes to the class, course or workshop on which you are booked, in addition to information about other events run by us which might be of interest to you. The data is collected via forms on our website and, on occasion, via paper forms or from details given over the telephone and used with your permission. The data is stored on Google Cloud servers located in the EU. You can find out more about the safety and security of this storage at https://gsuite.google.co.uk/intl/en_uk/faq/security/.

In addition, when booking a place, payment details are processed securely by Paypal, our trusted payment service provider, who might store the data on servers outside of the EU, in accordance with GDPR. No credit or debit card details are available to anyone at Mind Body Matters CIC, only the amount paid, when and by who, to enable us to issue refunds.

For the purpose of administering our business we might also collect data about:
  1. your gender,
  2. your age group,
  3. how you found out about the event,
  4. any health conditions you tell us about and
  5. any feedback you choose to share with us.
The data is used by us for demographic information about our customers and is usually collected via paper forms and processed by us. The data is aggregated and transferred to a digital format with no personally identifiable information associated. All paper copies are stored securely on our premises and destroyed when the data has been transferred.

If you contact us with a comment or enquiry, we require:

  2. your email address and
  3. a message.
In addition, you may provide:

  5. your job title and
  6. a telephone number.
The data is used to respond to your enquiry and send the information you requested and will not used for any other purpose. Your details will not be added to a mailing-list and you will only be contacted again in relation to the same enquiry.

If you sign up for our email newsletter (also called news or updates) we require:

  3. which area you want information about.
The data is used to provide you with information about our classes, courses and workshops. The data is collected via forms on our website and, on occasion, via paper forms or from details given over the telephone and used with your permission.

For the purpose of email marketing, data is processed by MailChimp, our trusted email marketing provider, who might store the data on servers outside of the EU, in accordance with GDPR. You can change your preferences or unsubscribe anytime using the link at the foot of the email or by contacting admin@mindbodymatters.co.uk with your request.

How we protect your information
Digital data is secured with strong password protection and accessible only via authorised devices. Non-digital data is stored securely on our premises and destroyed when transferred to a digital format. No data is kept for longer than is neccessary for the purpose of contacting you, in accordance with this privacy statement.

At no time will your data be sold to or shared with third parties, under any circumstances. This does not include trusted third parties, as stated above, who assist us in operating our website or conducting our business and agree to keep the data private and secure.

No personal information is stored in publicly accessible areas of our website or websites operated by trusted third parties who assist us with our business and the delivery of services. You can ask to see the data we have about you, make changes or have it deleted at anytime by contacting admin@mindbodymatters.co.uk with your request.
